End of Year / Rollover
- Quick tips for MP 4 student EOY status
- Roll in Roll out Report instructions - Use SY 25-26 in IC when running this report. This report shows the students coming in to your school for next year and those students who are moving out at the end of this year. Sorting this report by the NY Grade (Next Year Grade) will give you the following: Incoming students and their school or origin + Outgoing students and their next year school.
- EOY Entering Retentions and Placements - This report was recently shared with your admin team. These actions should be made by the appropriate admin or guidance staff as is the custom in your building.
- How to Generate the Census Rules Report - Several reports will download below are the 4 that need to be cleaned up ASAP. This is a top priority – students with incorrect household info will not receive their final mailed report card. Generate information related to students who need to have their records cleaned up in your school for the following:
- Active Students Not in a Household
- Active Students Who Do Not Have A Mailing Address
- Household with More than 1 Primary Mailing Address
- Households with More than 2 Addresses
- Running the Household Quality Report
- End of Year Procedures - Support Info from DSC
- Additional Information to Remember:
-
Run the Roll in Roll out Report on 6/30/26 so you have a final version before the 7/1/26 switch to SY27.
-
After final report cards are received (currently scheduled for 6/25/2026 delivery to schools). Your admin team will deliver student records to their new school over the summer. Use the Roll in Roll out Report to create a sign off sheet to attach for each receiving school. The person who accepts the records at the receiving school should review and sign off on the form as proof of receipt of records.
-
If you receive a records request for an active student in your school and that student is staying with you until the end of the year, do not W/D the student. Hold onto these requests until after final report cards are created then W/D.
-
Students going from Red Clay to another Red Clay school will automatically roll over to their new school. Do not send a records request for any student moving within district based on the Roll In or Out Report.
-
Pre registrations: you can continue to enter pre-registered students from out of district with a date of 7/1/26. After 7/1/26 enter students and use the date you are entering them into IC.
